- Responsible for the timely, accurate, and efficient preparation and management of documents;
- Generate, copy, scan, and store documents such as legal documents, and internal/external documents;
- Prepare minutes of the meeting during management review;
- Maintain and update records of all official documents including Standard Operating Procedures, Policies, and Guidelines;
- Ensure effective implementation of document control processes and maintain accurate filing of records of all official documents;
- Ensure that all registered documents are compliant to the company’s Document & Record Control Procedure and ISO 9001:2015 standard;
- Conduct regular review of documents as per defined frequency;
- Maintain proper filing of obsolete documents and ensure proper archival procedure is being followed;
- File documents in physical and digital records and ensure appropriate storage for easy document retrieval;
- Manage request for document review, revision and finalization;
- Liaise and inform each department in new registered forms, revision, or for review;
- Monitor all expiration of legal documents; and ensure that all permits will be renewed in a timely manner to avoid penalties;
- Process complaint reports as necessary.
Qualifications:
- Graduate of any 4-years course
- With at least 1 year of experience as Document Controller
- With awareness on ISO Quality Management Standards 9001:2015
- Keen to details and a self-starter
