As an Executive Assistant, you will provide secretariat and support to the Country Head (CH) to ensure that company goals and objectives are accomplished and that operations run efficiently as well as plan and orchestrate work to ensure that senior executive priorities are met, organizational goals are achieved, and best practices are upheld.

Your Responsibilities:

  • Work directly with the CH to support all aspects of his daily work routine that maintains the CH calendar, schedule meetings, appointments, speaking engagements, and travel (may include domestic and international) arrangements. Exercise discretion in committing time and evaluating needs.
  • Raise Purchase Orders and manage payment to suppliers, consultants or other third parties engaged from CH.
  • Arrange for signatures from Country Head on required documents and with stamp (if necessary) and handle key contracts, archive all legal documents.
  • Serve as a liaison between the CH staff and stakeholders. This includes receiving and screening the CH’s phone calls and visitors, answering a variety of questions with tact and diplomacy, taking messages, and directing calls appropriately for resolution.
  • Assist the CH in the development of reports, presentations, and white papers for internal and external audiences.
  • Provide coordination, monitoring, and communication of projects and programs managed by the CH.
  • Determine priority of matters of attention for the CH; redirect matters to staff to handle, or handle matters personally, as appropriate. Keep the CH advised of time-sensitive and priority issues, ensuring appropriate follow-up.
  • Perform other tasks assigned by Country Head / handle other assignments as requested within given timeline.

Minimum requirements

What you’ll bring to the role:

  • Bachelor's degree in a relevant field.
  • + 3 Years of experience in an administrative/ Assistant role, preferably in a business environment.
  • Excellent verbal and written communication skills in English and Vietnamese, with the ability to negotiate effectively.
  • Strong business acumen skills can better understand business issues, adapt, and remain flexible during times of change, comprehend business operations.
  • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects.
  • Ability to maintain confidentiality of information related to the company and its employees
  • Ability to work independently and take initiative.
  • Excellent verbal and written communication skills in English and Vietnamese, with the ability to negotiate effectively as well as proficiency in Microsoft Office Suite (Word, Excel, PowerPoint.
