OFFICE ADMINISTRATOR - 2 MONTHS PROJECT

Job Summary:

Office admin will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently. The tasks of the office administrator will include bookkeeping and mentoring office assistants. The ideal candidate will be competent in prioritizing and working with the team assigned. The office administrator to ensures smooth running of our company’s offices and contributes in driving sustainable growth.

Main Responsibilities:

  • Answering incoming calls; taking messages and redirecting calls as required
  • Dealing with email enquiries.
  • Taking minutes
  • Diary management and arranging appointments, booking meeting rooms and conference facilities.
  • Data entry (sales figures, property listings etc.)
  • Create and update records and databases with personnel, financial and other data.
  • Maintain complete knowledge of service requirements for assigned functions.
  • Maintains workflow by studying methods; implementing cost reductions; and developing reporting procedures.
  • Prepare presentations/proposals as assigned.
  • Creates and revises systems and procedures by analyzing operating practices, recordkeeping systems, forms control, office layout, and general office management.
  • Budgetary and personnel requirements; implementing changes.
  • Resolves administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions.
  • Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
  • Provides information by answering questions and requests.
  • Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
  • Contributes to team effort by accomplishing related results as needed.
  • Answering incoming calls; taking messages and redirecting calls as required.
  • Additional tasks as assigned by Reporting Manager (raise MR’s, follow up on PO’s, invoices from suppliers etc..)
  • Providing administration support to Sales Reps, Property Managers and Senior Management.

Educational Qualifications and Professional Certifications:

  • Diploma /Bachelors Degree or equivalent

Experience:

With minimum of Two to Three (2-3) years of relevant experience in the same role preferably within a comparable or higher product establishment.

Skills:

  • MS Office Knowledge / Attention to detail / Computer literate.
  • Fluency in English is essential with the ability to communicate effectively at all level.

Job Types: Full-time, Temporary, Contract
Contract length: 2 months

Salary: QAR3,000.00 - QAR3,500.00 per month

Ability to commute/relocate:

  • Doha: Reliably commute or planning to relocate before starting work (Preferred)
