Job summary

A vacancy has arisen within Headquarters Land Warfare Centre for a motivated and driven individual to join the Information Management (IM) Team. You will be part of the Information Hub (iHub) where you will support and advise Military and Civilian personnel on IM best practice and help to streamline their working practices such as developing applications and flows.

This post will give you the opportunity to develop a career within Knowledge Information Management (KIM) and you will be given the opportunity to train and develop your IT skills.

This position is advertised at 37 hours per week


Job description

Are you able to provide an excellent level of service and administrative support, with the highest level of accuracy and initiative? We are looking for someone with outstanding inter-personal skills and the ability to handle their own workload, prioritising and reassessing as tasks are received. We need someone who can be adaptable and work in different environments, creating rapports not only within their immediate team but within the wider team and other Army units to ensure that all personnel on site receive an exceptional service.

The successful candidate will become part of a knowledgeable team of three civilian personnel. You will work to support the Information Support Officer (ISO) and, alongside daily admin tasks, be the focal point for all system access requests, account management and information management best practice. For this reason, excellent interpersonal skills will be needed as you will deal with a variety of different military and civilian personnel.

This post is advertised at 37 hours per week.

Key areas of responsibility:

  • Ensuring adherence across the organisation to IM policy and practices
  • Document and record management.
  • Monitor the group mailbox throughout the day for all user queries, requests, system outages and information updates for dissemination.
  • Information handing. Ensuring that the rules for secure storage and transmission of information, in particularly protectively marked material are widely understood and rigorously followed across the organisation.
  • Coordinate all requests for new and existing user accounts.
  • Provide password resets for user accounts.
  • Coordinate change requests for SharePoint.
  • Build and maintain email address distribution lists.
  • Provide guidance, education, support and advice.
  • MODNET/SharePoint iHub Practitioner and Team Site Administrator (TSA) this will include building SharePoint sites, libraries and pages and the administration/permissions to access.
  • Local Security Officer (LSO) for Official and Secret this includes checks on security vetting, signing off on various IT equipment and application requests and education on security principles.
  • Be prepared to cover tasks when other iHub staff are absent, including covering the travel requests.
  • Ad hoc duties as specified by Line Manager.

Person specification

Have basic skills and experience working with Microsoft Office 365.

You must be prepared to undertake vital training:

  • Complete the Knowledge and Information Practitioner modules 0 and 1.
  • Complete a two-day SharePoint workshop held in Army Headquarters, Andover.
  • MODNET online training
  • Complete Classified Material Handling online course.

Application sifting is scheduled to take place on week commencing 12 June 2023. Interviews will take place at The Land Warfare Centre 2 weeks after the sift.
